We are looking to appoint a highly experienced Administrator, with at least 2 years experience of working in a HR Administration/People Services environment.

This is a temporary position and would suit an individual who is happy to work this assignment on a temporary basis for approximately 3 months. There is scope for this
role to be hybrid, working from either the Boston or Grimsby office and home.

Responsibilities

●To provide HR administrative service to employees, following clearly defined processes and using agreed template letters and documents, raising any concerns with the People Services Officers and Manager
●The Processes document will be an extension to daily duties, and outlines how all processes should be carried out
●Collaborating with the wider Culture department, to ensure execution of tasks comes from Culture and not just People Services, and that People Services focussed initiatives are delivered collaboratively throughout the business
●Producing template letters and contracts
●Working with the Talent team to coordinate the onboarding of new starters, ensuring that right to work checks are completed, educational certificates are provided and the relevant information and paperwork passed to payroll in a timely and accurate manner
●To ensure that administrative processes are undertaken in line with policy
●To provide accurate and timely transactional responses and communication with the workforce, responding to queries and requests as appropriate
●To accurately maintain People-related data and personnel files, ensuring confidentiality
●Pro-actively check data in the HRIS, ensuring gaps are filled in a timely manner
●To provide answers confidently based on data and understanding of policy and process
●To prepare and send any (physical) correspondence required to complete processes in an accurate and timely fashion
●To work collaboratively with colleagues to deliver great service
●Provide ad hoc administration, reporting, analysis and project support to the Head of Culture and the People Services Team as required including note taking in sensitive meetings
●Be the primary point of contact for payroll and support activities such as calculation of holiday etc, ensuring strict deadlines are met
●Maintain up to date records of membership for health plan and pension membership
●Deliver 6 monthly reconciliation checks on DBS requirements
●Ensure renewals and new DBS checks are processed in a timely way keeping the Line Manager up to date and ensuring appropriate risk assessments are in place where there are delays
●Participate in wellbeing ambassador meetings and action outcomes
●Ensure GDPR compliance of the department, including maintaining appropriate filing and destruction/deletion of records and providing input to Data Subject Access Request responses
●Receive and respond to queries from employees and third parties as appropriate, sign posting, escalating and/or passing on to People Services Officers where necessary and appropriate.
●Responsible for all new employee pre-employment checks such as references, DBS checks, medical checks, onboarding and offboarding, liaising with the People Services Officers throughout
●Arranging parking permits when necessary and carrying out annual driving license checks for relevant staff members
●Being the first point of contact for any queries received in the shared HR and Pensions inboxes. Responding in a timely manner in line with process, and raising higher level queries with People Officers
●Supporting employees and managers in meetings, to include within a note taking capacity
●Ensuring all data is input into the HR system in a timely manner so that statistics are up to date at all times
●Raising People department purchase orders
●Liaising with all internal stakeholders as well as numerous external stakeholders

Your Skills, Abilities, Knowledge and Experience

●Minimum two years' experience within an HR administration role
●Experience working in a fast paced environment where planning, organising, prioritising and multi-tasking were required
●Minimum basic understanding of HR principles and practices
●Exceptional organisation skills with attention to detail
●Numerate with strong analytical skills
●Confident in dealing with people and able to communicate clearly and effectively at all levels within the organisation
●Must be able to work within a confidential environment
●Flexible, with the ability to prioritise in an environment of constant change
●Self-motivated
●Strong team player, with the ability to work independently also
●Good sense of humour
●Computer and systems literate
●Ability to provide measurable, timely and effective results
●Ability to question, listen and learn
●Experience of HR databases
