TEMP ADMIN ROLE - FACILITIES ASSISTANT
Dates: 29th August - end of September (or until permanent position is filled)
Hours: 37.5/week (Mon-Fri, 9:00am-5:00pm). Note: Occasional early mornings/evenings.
Role:
Assist & stand-in for the Facilities Manager.
Admin & operational support for site premises upholding high standards & compliance (Health & Safety, CQC, GDPR, Security).
Key Tasks:
• Oversee maintenance & servicing schedules for all premises & equipment.
• Manage contractors: bookings, quotes, documentation & ensuring required permits.
• Produce/update key documents: COSHH Safety Sheets, Risk Assessments, H&S notice boards, Floor Plans.
• Health & Safety Committee Secretary duties: minuting, action tracking, stakeholder follow-ups.
• Administer the site's safety management system: update & present reports.
• Conduct compliance checks, report issues to Facilities Manager.
• Full admin support: Office 365 & Adobe PDF docs.
• Induction support for new staff & contractors.
• Audit supply chain & subcontractors.
• Central contact for site facilities & H&S helpdesk.
• Address email/phone queries, escalate if necessary.
• Travel to other site locations as needed.
Requirements:
• Basic understanding of Health & Safety within the workplace.
• Experience in managing administrative filing systems.
• Ability to minute meetings and generate reports clearly and accurately.
• Must be self-motivated and able to use own initiative.
• The ability to work productively in a busy environment, managing multiple high-priority work streams simultaneously, and able to prioritise to meet changing deadlines.
• Excellent IT skills with a high level of knowledge of Adobe Acrobat and Microsoft 365 (including Word, Excel, PowerPoint, and Outlook as a minimum).
• Substantial experience in office administration.
This role is on-site only (no hybrid working) and might include unsociable hours.
